Look, We're Keeping It Real

Here at Harbor Quinthyra Architecture, we're pretty straightforward about how we handle your info. We've been designing coastal spaces for years, and we treat your personal data with the same care we'd give to a heritage restoration project - seriously and with respect.

This isn't some cookie-cutter policy we grabbed off the internet. It's how we actually do things around here, written in plain language because nobody's got time for legal jargon that makes your eyes glaze over.

What Info We Actually Collect

When You Reach Out to Us:

If you're filling out our contact form or shooting us an email, we're gonna collect the basics - your name, email, phone number, and whatever details you share about your project. We need this stuff to actually respond to you and understand what you're looking for.

Project Consultation Details:

Once we start talking about your waterfront dream home or marina development, we'll keep notes on property locations, project scopes, budgets, timelines - y'know, the stuff we need to design something you'll actually love. Sometimes this includes site photos or documents you send our way.

Website Behavior:

Like pretty much every website out there, we collect some technical info - your IP address, browser type, pages you visit, how long you hang around. It's not about being nosy; it helps us figure out if our site's actually working well or if something's broken.

How We Use Your Information

  • To get back to you about your project inquiries (obviously)
  • To prepare proposals, site assessments, and design concepts
  • To keep you updated on your project's progress
  • To handle invoicing and payments when we're working together
  • To send occasional updates about our work - but only if you're cool with that
  • To improve our website and services based on what people actually need
  • To comply with Canadian regulations and professional standards

Who Sees Your Data

We're not in the business of selling your info - that's not our thing. But here's who might need access:

Our Team: The architects, designers, and admin folks who are actually working on your project.

Project Partners: Sometimes we work with engineers, environmental consultants, or surveyors. If they need your contact info to coordinate on your project, we'll share what's necessary - but we'll give you a heads up first.

Legal Requirements: If Canadian law or regulatory bodies require it, we've gotta comply. It's part of being a licensed architecture firm.

Service Providers: Our email hosting, cloud storage, and website platforms. They're bound by their own privacy policies and security measures.

Cookies & Tracking Stuff

Yeah, we use cookies. Not the chocolate chip kind, unfortunately. These are small files that help our website remember you and work properly. Most of it's basic functional stuff - keeping you logged into forms, remembering your preferences, that sort of thing.

We also use analytics tools to see how people use the site. It's anonymous data that helps us figure out if our portfolio page is loading too slow or if nobody can find our contact info. You can disable cookies in your browser if you want, but some parts of the site might get a bit wonky.

Keeping Your Information Safe

We take security seriously. Our systems use encryption, secure servers, and regular backups. Access to client data is limited to team members who actually need it for your project. We're not perfect - no one is - but we're doing our best to keep your info locked down.

That said, sending stuff over the internet is never 100% secure. If you're sharing super sensitive details, give us a call instead - old school sometimes works better.

Your Rights (Because You've Got 'Em)

Under Canadian privacy laws, including PIPEDA, you've got some solid rights:

  • Access: You can ask what info we have on you
  • Correction: If something's wrong, we'll fix it
  • Deletion: Want us to delete your data? Just ask (though we might need to keep some stuff for legal or project documentation reasons)
  • Opt-Out: Don't want marketing emails? Unsubscribe anytime
  • Questions: Want to know how we're using your info? We'll tell you

How Long We Keep Your Stuff

For active projects, we keep everything until the work's done and dusted. After that, we hang onto project files for seven years - that's partly a professional requirement and partly because sometimes clients come back years later asking about their original plans.

Marketing contact info? We'll keep it until you tell us to stop or until it's clear you're not interested anymore. Inactive contacts get cleaned out periodically.

Third-Party Links

Our website might link to other sites - supplier pages, partner firms, inspiration galleries, whatever. Once you click away from harborquinthyra.info, their privacy policies take over, not ours. We can't control what they do, so read their policies if you're concerned.

Changes to This Policy

We might update this policy from time to time - usually when laws change or we add new services. We'll update the date at the top and let existing clients know if anything major changes. For small tweaks, just check back here occasionally.

Kids' Privacy

Our services aren't aimed at anyone under 18, and we don't knowingly collect info from kids. If you're a parent and think your child has given us their info somehow, let us know and we'll delete it right away.

Got Questions or Concerns?

Seriously, if anything in here doesn't make sense or you want to exercise any of your rights, just reach out. We're human beings, not robots, and we're happy to chat about how we handle your information.

Office of the Privacy Commissioner of Canada
